PDFsy Privacy Policy

PDFsy ("PDFsy", "we", "us", or "our") is a mobile application developed by KOZOS for creating, scanning, converting, editing, organizing, signing, annotating, compressing, merging, splitting, protecting, and otherwise managing PDF documents and related files.

This Privacy Policy explains how information is handled in the current Version 1 release of PDFsy.

1. Documents, Images, and Files

PDFsy does not require a PDFsy account for its core document-processing features. The app may access PDFs, images, scans, signatures, annotations, and other files that you intentionally select, create, edit, scan, import, or export.

Core PDF and document-processing features are designed to run locally on your device. We do not intentionally upload the contents of your PDFs, scans, signatures, images, or other documents to servers operated by PDFsy for document processing, analytics, advertising, or crash reporting.

Files that you save to Android shared storage, including Downloads or other locations you choose, may remain there until you delete them.

2. Protected PDFs and Passwords

When you open, edit, compress, unlock, protect, batch-process, or otherwise work with a password-protected PDF, PDFsy may ask for the document password or a password that you want to apply to an output file. These passwords are used locally to perform the action you request.

Most PDF passwords are kept only for the active processing session. For durable background or batch processing, PDFsy may temporarily store a required PDF password in app-private encrypted storage protected using Android security mechanisms, including Android Keystore-backed encryption. Temporary stored passwords are removed when they are no longer required, such as after the related work completes, is cancelled, or is cleaned up by the app.

PDFsy does not intentionally send PDF passwords to servers operated by PDFsy, Firebase Analytics, or Crashlytics. If you choose to upload a password-protected document to a connected cloud provider, the encrypted document itself may be transferred to that provider as part of the backup you requested.

3. Biometric Authentication and App Lock

PDFsy may use Android biometric authentication for features such as App Lock or authentication before certain digital-signature actions. Biometric verification is performed by Android and the device's supported biometric system.

PDFsy receives only the authentication result needed to allow or deny the requested action. PDFsy does not receive, store, or have access to your fingerprint template, face template, or other biometric template data.

4. Digital Signatures and Certificates

If you use digital-signature features, PDFsy may allow you to create or select a signing certificate. When creating a personal signing certificate, you may voluntarily provide information such as your name, organization, and country. That information is used locally to create the certificate and may become part of the certificate or signed PDF, which means it can be visible to or inspected by people or services that receive the signed document.

Where PDFsy creates a signing key using Android Keystore, the private key is protected by Android security controls and is intended to remain non-exportable. PDFsy may also use Android KeyChain when you choose an existing certificate available through the device. PDFsy does not intentionally upload private signing keys to servers operated by PDFsy.

5. Optional Cloud Backup

Cloud backup is optional and is off until you enable it. If you choose Google Drive or Dropbox, PDFsy may transfer files directly from your device to the cloud provider that you authorize. Those files are then subject to that provider's privacy, security, and retention practices.

PDFsy may store locally the account information or authorization credentials needed to maintain the cloud connection. Sensitive Dropbox OAuth credentials are protected using Android security mechanisms, including Android Keystore-backed protection where supported. Google Drive access is requested through Google's authorization services for the files and folders the app is permitted to create or access.

Disconnecting a provider stops future authorized backup operations but does not automatically delete files already stored in your cloud account. You can manage or delete those cloud files using the applicable provider's tools.

6. Analytics and Technical Information

PDFsy uses Google Analytics for Firebase to understand app usage and improve functionality, usability, stability, and performance. Depending on Google's services and device configuration, Firebase Analytics may process app-instance or installation identifiers, device and app information, app launches, feature or screen interactions, usage events, technical information, and approximate or general location inferred from IP address where applicable.

Advertising ID collection by Firebase Analytics is disabled in this release. PDFsy's release manifest also removes the Android Advertising ID and Ad Services permissions used for advertising.

7. Crash Reporting

PDFsy uses Firebase Crashlytics to diagnose crashes, non-fatal errors, ANRs, and technical problems. Crashlytics may process crash stack traces, app and device state, operating-system and app-version information, installation identifiers, diagnostics, and technical breadcrumbs where applicable.

PDFsy is designed to avoid intentionally including document contents, PDF passwords, file names, local file paths, content URIs, or similar sensitive document metadata in Crashlytics reports. Production diagnostic messages and app-reported exception messages are sanitized before being sent through PDFsy's Crashlytics reporting path.

8. ML Kit and On-Device Processing

PDFsy may use Google ML Kit or related Google Play services for OCR, document scanning, image analysis, and other intelligent features. Applicable document or image inputs are designed to be processed on your device. Google may receive technical metrics needed for model delivery, compatibility, diagnostics, performance, security, and service improvement.

9. Current Version 1 Monetization Status

The current Version 1 release does not display PDFsy-served advertising, does not request ads, does not offer a paid PDFsy Premium subscription or free trial, and does not enforce a daily tool-use quota.

Google Mobile Ads and Google Play Billing integration code may remain packaged in the application so these features can be introduced in a future update, but those monetization flows are disabled in this release. PDFsy does not initialize its ad flow or start a Google Play Billing purchase flow while the corresponding features are disabled.

If advertising, paid subscriptions, trials, or usage limits are introduced later, PDFsy will update the applicable disclosures and user controls as required before or with that release.

10. Data Handling Summary and How We Use Information

Depending on the features and services you use, information handled by PDFsy or its active service providers may include: files and document content that you choose to process locally or back up; app activity and feature-interaction information; app and device information; installation or app-instance identifiers; diagnostics and crash information; approximate or general location inferred from IP address where applicable; cloud authorization information; and information that you voluntarily enter for digital signing or support.

We use information as necessary to provide app functionality, process files you select, save settings, perform requested background work, provide optional cloud backup, restore authorized cloud connections, authenticate protected actions, create digital signatures or certificates, understand app usage, improve features and performance, diagnose technical issues, maintain security, prevent abuse, comply with legal obligations, and provide support when requested.

We do not sell your personal information. We do not intentionally use the contents of your personal documents for advertising profiling, and the current Version 1 release does not serve PDFsy advertising.

11. Third-Party Services and Sharing

Active or user-selected services in this release may include Google Analytics for Firebase, Firebase Crashlytics, Google ML Kit / Google Play services, Google Play for application distribution and related platform services, Google Drive when you connect it, and Dropbox when you connect it.

Information is shared with or processed by these providers only as needed for the applicable service or action. For example, analytics and diagnostic information may be processed by Firebase, technical ML Kit information may be processed by Google, and files are sent to Google Drive or Dropbox only when you choose and authorize the applicable cloud function.

These providers operate under their own terms and privacy policies. Information may also be disclosed when required by law or reasonably necessary to protect users, PDFsy, KOZOS, or others from fraud, abuse, security threats, or unlawful activity.

12. Permissions and Network Access

Depending on the feature you use, PDFsy may request access to the camera, files or documents you select, notifications, biometric authentication, and network access. Network access is used for functions such as analytics, crash reporting, optional cloud backup, model or service communication, and other online functionality that you choose to use.

PDFsy does not require broad access to contacts, SMS messages, call logs, or precise device location for its core PDF features. You can manage Android permissions through your device settings. Disabling a permission may prevent the related feature from working.

13. Retention and Deletion

Files stored locally by PDFsy remain on your device until you delete them, clear app data, uninstall the app where applicable, or otherwise remove them. Copies saved to shared storage may remain after the app is uninstalled.

Temporary encrypted PDF passwords used for durable background or batch work are removed when they are no longer required as described above. Signing keys protected by Android Keystore or certificates available through Android KeyChain are managed according to the applicable Android security and credential controls.

Cloud backups already uploaded to Google Drive or Dropbox remain subject to that provider's retention and deletion controls. Analytics, crash-reporting, and other technical information processed by third-party services is retained according to those providers' policies and configurations.

14. Your Choices and Privacy Rights

Depending on applicable law, you may have rights to request access, correction, deletion, restriction, or objection regarding certain personal information. You can manage app permissions, disable or avoid optional cloud backup, disconnect Google Drive or Dropbox, delete local documents, manage files stored in your cloud account, and use the applicable provider's privacy or account tools.

For information processed locally on your device, you can generally remove it by deleting the relevant file, clearing applicable app data, or uninstalling the app, subject to copies you separately saved to shared storage or cloud services.

15. Security

We use reasonable technical and organizational measures to protect information handled by PDFsy. Core documents are primarily processed locally. Sensitive cloud authentication information and temporary protected-PDF credentials may be protected using Android encryption and Android Keystore-backed mechanisms. Digital signing keys created through Android Keystore are protected by Android's security controls. Communications with Google, Dropbox, Firebase, and other online providers use their supported transport-security mechanisms.

No electronic storage or transmission method can be guaranteed to be completely secure. You are responsible for maintaining the security of your device, document passwords, and connected cloud accounts.

16. Children's Privacy

PDFsy is not intended to knowingly collect personal information from children in violation of applicable law. If you believe a child has provided personal information to us inappropriately, contact us so we can investigate and take appropriate action.

17. Changes to This Privacy Policy

We may update this Privacy Policy when PDFsy features, third-party services, legal requirements, or privacy practices change. We will update the Last Updated date and provide additional notice where required.

If a future version enables advertising, paid subscriptions, additional data collection, or materially different processing, the privacy disclosures will be updated as appropriate for that release.
